Quick checklist
- Count the pieces and note dimensions
- Remove personal belongings and loose obstacles
- Measure the tightest fixed points on the route
- Share stairs, elevator, parking, and timing details
- Confirm scope and handling before pickup
Count by furniture type and location
A useful inventory separates desks, returns, task chairs, guest chairs, conference tables, filing cabinets, shelving, reception pieces, and miscellaneous furniture. Add the room or floor for each group. “Twenty mixed items” is less useful than a line-by-line count.
Remove business records and equipment
Empty drawers and cabinets. Separate paper records, keys, access cards, drives, electronics, toner, and batteries from furniture. Furniture removal does not automatically include secure document destruction, electronics recycling, or regulated material handling.
Map the building route
Record service-elevator dimensions, dock access, stair counts, corridor turns, door widths, parking limits, security check-in, and the allowed work window. Identify any area that must remain open to staff or customers.
Mark what stays
Use removable tags or a room plan to distinguish furniture that stays, moves internally, or leaves the property. Keep the labels brief and unambiguous. A final walkthrough with the responsible site contact helps prevent the wrong piece from leaving.
Request the estimate from the inventory
Send the inventory with representative photos and access notes. Confirm whether labor includes disassembly, internal moves, loading, and cleanup. If the list changes before arrival, update it rather than waiting for the crew to discover the difference.
What to send before scheduling
| Detail | Why it helps |
|---|---|
| Item list and photos | Shows quantity, construction, condition, and loose parts. |
| Measurements | Flags a piece or doorway that may need a different plan. |
| Access notes | Clarifies stairs, elevators, loading position, and carry distance. |
| Timing constraints | Identifies building windows and coordination needs early. |
